Choose the Right Dayton VA Route Before You Call or Drive
The fastest route depends on your task. A refill, travel reimbursement claim, medical record request, mental health need, appointment change, Community Care bill, emergency symptom and visitor question should not all go through the same office.
| What you need | Best first route | Why this saves time | Prepare this |
|---|---|---|---|
| Life-threatening symptoms | Call 911 or go to the nearest emergency department | VA portal messages and routine clinic lines are not emergency tools. | Medication list, allergies, VA card, ID and caregiver contact only if safe. |
| Dayton VA main operator | Call 937-268-6511 | The operator can route you to a clinic or extension when you are unsure. | Veteran name, last four, clinic name, appointment date or extension if known. |
| Emergency room at Dayton VA | Call main number and ask ER, or use ext. 2335 / 2134 | ER staff handle urgent and life-threatening care, plus psychiatric evaluations. | Symptoms, arrival status, medication list, allergies and transportation plan. |
| Appointment, referral or specialty care | Contact your VA primary care team or the specialty clinic through main number / My HealtheVet | Many specialty services require a primary care referral. | Reason for visit, referral status, availability, travel limits and telehealth question. |
| Medical records | Use My HealtheVet online first, then Release of Information at 937-267-3911 | Many records can be reviewed, printed or downloaded online, but formal copies need VA Form 10-5345a. | Signed request, VHIC, date range, record type and recipient. |
| Travel reimbursement | Use BTSSS online or Dayton Patient Travel ext. 1293 / 5993 | Travel pay has eligibility, direct deposit and filing-time rules. | Appointment date, mileage, receipts, direct deposit and claim status. |
| Prescription refill | Use VA.gov/My HealtheVet, automated refill line ext. 2189, or 800-379-8387 outside Dayton | VA asks Veterans to order refills at least 10 days before supply runs out. | Medication name, Rx number, delivery address and remaining supply. |

| Need appointment change | Use online appointment tools if available or call the relevant clinic/main operator. | Specialty care may require a primary care referral. |
Appointments, Referrals and Clinic Extension Strategy
Dayton VA specialty services often say “contact us to schedule, reschedule, or cancel your appointment,” but many also require a referral from your VA primary care provider. Calling the right extension with the right details can save a long phone-tree loop.
Start with primary care when a referral is required
Many specialty services, including cardiology, neurology, orthopedics, ENT, pain management, nephrology, sleep medicine and rehabilitation, list referral requirements. Ask your primary care team to place or confirm the consult.
Use the main operator when you only know the clinic name
Call 937-268-6511 and ask for the clinic or extension. The directory includes many clinic-specific extensions such as Cardiology Front Desk ext. 2717, Radiology ext. 2103, Lab ext. 2434 and Audiology ext. 7156.
Prepare your constraint clearly
If transportation, work, caregiver support, mobility, telehealth, weather, anxiety or distance affects your visit, state that directly and ask about phone, video, VTS, beneficiary travel or Community Care options.
Use tele-triage for the level of care
The Dayton VA page notes medical triage staff are available 24/7 to guide Veterans to the right level of care, including tele-emergency care.
Emergency Care at Dayton VA and Non-VA Emergency Reporting
Dayton VA lists emergency care as available 24 hours a day. In an emergency, VA says to call 911 or go to the nearest VA or non-VA emergency department. Do not delay care to ask for authorization.
Use ER / 911 now for
- Chest pain, possible stroke, severe breathing trouble or fainting with concern.
- Severe injury, burns, heavy uncontrollable bleeding, poisoning or overdose.
- Seizure, sudden confusion, suicidal crisis, severe psychiatric symptoms or rapidly worsening symptoms.
- Any condition where a reasonable person would believe delay could put life or health in danger.
Usually not ER-first
- Routine medication refill when pharmacy or your provider can safely handle it.
- Old medical records, travel reimbursement, billing questions or portal password help.
- Stable non-urgent illness where primary care, urgent care or nurse triage can guide you.
- Future appointment, eligibility paperwork, C&P questions or parking questions.

Waiting too long for refills

Missing the travel-pay window

Not reporting non-VA emergency care
If you use a non-VA emergency department, VA should be notified within 72 hours. Call 844-724-7842 or use the official reporting portal.
Requesting records without the right form
Formal records require a signed written request or VA Form 10-5345a. Bring your VHIC for in-person requests.
Forgetting building numbers
Dayton VA uses many buildings and floors. Confirm Building 330, 302, 408, 410 or the clinic location before arrival.
